We have installed phone systems that have an ROI of 2 months. By analyzing bills the customer was able to get a refund from their previous provider that paid for the entire phone system.
Though I see companies spend a ton of money on email systems, I am quite shocked on how they neglect their phone systems. I too neglected our phone system as well. I must say that I have seen the light. Our phone system is one of the most important tools in our office. I think that people enjoy being greeted by name when they call. We used to have a phone system that was not much better than what I had at home. When you picked up the phone, you put the customer on hold and yelled for the person that needed to pick up. No one would ever attempt a conference call. When you did you held your breath and told the person on the other end that I will call you back if I loose you. Today it has contributed to better communications. We can have multiple people on a call, everyone can hear each other, and if one person hangs up, the whole call does not disconnect. Our old phone system was a complete mystery. Once it was installed you never made any changes and every time you added another phone, it was $300 for a phone and another $150 for someone to come out and set it up. So for a little less than $500 you had a new extension without any better business process. This gave me another employee to yell for when they needed to pick up the phone. Another option that I have is to give a person a headset and when they are in the office they plug it into their computer or laptop. If they are in a remote office and the cost warrants it, I can enable VoIP at their home office. I only recommend this if the cost justifies the return. Today, I can see if an employee is in the office, on their phone, in a meeting on vacation or any number of statuses. When I transfer a call, I can tell the customer the employees status and ask them if they would like voicemail or to hold. I can even open a chat window to the other person and tell them who is on the phone or ask them how long they will be. This is so much better than it used to be.
